Instructions for Preparation and Presentation of Papers in a BIW `96 Poster Session

SUMMARY

Please note the following points when designing your poster:

 

- DO use large, easy-to-read letters

- DO include a heading title with Authors, Names, and Addresses

- DO include a brief abstract

- DO include clear figures and tables

- DO NOT put up typed pages from your paper

- DO NOT clutter posters with details

- Posters should be understandable - even in the absence of the authors

 

GENERAL

In a poster session there is no oral presentation of papers as in a conventional paper session. Instead, each author will be assigned an area equipped with a pressure-sensitive (Velcro) board on which diagrams, graphs, data, pictures, and a small amount of text may be mounted. Each author will be expected to remain with his poster presentation throughout the two-hour session.

LOCATION

The poster session will be held in the Gallery, one level below the APS Auditorium. This room will also be the location for the vendor displays. Your presentation will be assigned a poster number which will correspond to the booth where you will display your poster material. You will receive your poster number in the final mailing before the conference.

SCHEDULE

You may set up your poster as early as the 4:00 p.m. Monday afternoon break. All authors are expected to remain with their presentations on Tuesday from 2:00-4:00 p.m. The posters can remain set up until 10:00 a.m. Thursday, but will be unattended.

POSTER AREA DESCRIPTION

Each poster area will be equipped with a pressure-sensitive board with dimensions 78" (h) x 58" (w). To facilitate readability, it is recommended that the lower 30" not be used. To mount your posters onto the board use only the special Velcro tape provided at the Workshop Registration Desk. DO NOT USE TACKS, TAPE, STAPLES, PINS or any other adhesive materials. It is important that this be strictly followed, because the panels are designed for Velcro tape only and can be easily damaged. No audiovisual equipment will be supplied. It is suggested that poster authors make preprints of their papers available to participants.

PREPARATION OF THE POSTERS

It is suggested that the posters be prepared so that they can be easily understood even in the absence of the author(s). The content of each poster should be clearly divided into sections including introduction, problem definition (or aims of work), work summary, results, and conclusions.

General guidelines for preparation of the posters are provided below:

  1. Legibility: The poster should be readable from a distance of at least 2m (6 ft.). Suggested sizes include: minimum graph size 25 cm (10"), section heading letters 2 cm (3/4"), and text and figure lettering not less than 1 cm (3/8").

  2. Heading: A heading label should be supplied by the authors which includes the paper title, author name(s), and at least the primary author's address. The recommended title lettering size is 3 cm (1-3/16"). The maximum size is 20 cm by 122 cm (8" x 48"). This should be mounted at the top of each poster area.

  3. Titles: All figures and tables should be titled. The sizes, format, and number of the posters (beyond the heading) are left up to the discretion of the authors.

  4. Dimensions: The size of the poster is left to the discretion of the author(s). However, when mounting, do not mount lower than table height (30" above floor). Please refer to the diagrams on the following page for exact dimensions of the board.
